Role of Khmer Travels

Khmer Travels may act as a direct service provider or as an intermediary between customers and third-party suppliers such as airlines, hotels, visa authorities, tour operators, transportation providers, and global reservation systems. Many cancellations and refunds are controlled by supplier rules and international travel regulations.

General cancellation rules

Customers are responsible for reviewing cancellation conditions, fare restrictions, supplier rules, and booking limits before payment. Refund eligibility depends on the service type, supplier cancellation rules, airline fare conditions, hotel restrictions, embassy or visa authority policy, operational limits, promotional restrictions, and time remaining before departure or check-in. Cancellation penalties may apply immediately after confirmation.

Flight ticket cancellations

Refundable tickets may qualify for partial or full refund depending on airline rules and fare conditions. Deductions may include airline penalties, administrative service charges, payment gateway fees, currency conversion losses, banking charges, and fare-rule penalties.

Most promotional, discounted, and low-cost carrier tickets are non-refundable. In some cases, unused government taxes or airport fees may still qualify for partial refund when permitted by the airline. Khmer Travels service fees are generally non-refundable once service work has started.

Schedule changes and airline disruptions

If an airline cancels a flight, changes the schedule, modifies the route, or causes a significant delay, refunds or alternatives depend entirely on airline policy and approval. Khmer Travels is not responsible for airline operational decisions.

Flight changes and rebooking

Date changes, name corrections, route modifications, cabin upgrades, and flight reissue requests may require airline reissue fees, fare differences, administrative handling charges, and tax adjustments. All changes depend on seat availability, airline approval, and applicable fare rules.

Hotels, tours, activities, and transport

Hotel cancellation results vary by room type, season, event period, supplier agreement, and promotional condition. Outcomes may include free cancellation, partial refund, one-night penalty, or full forfeiture.

Tour packages and activities often require advance payments to local suppliers. Refund possibility usually decreases closer to departure, and unused services after tour commencement are generally non-refundable.

Airport transfers, vehicles, ferries, buses, private transport, and rental services may carry separate operator rules. Late cancellation, missed pickup, incorrect pickup details, excessive delay, or failed communication may lead to partial refund, no refund, or rescheduling penalties.

Visa services

Khmer Travels does not guarantee visa approval, processing speed, embassy appointment availability, or immigration acceptance. Embassy fees, government charges, visa processing fees, biometric fees, consultation charges, and documentation support fees are usually non-refundable once processing begins.

No-show policy

If a customer fails to board a flight, arrive for hotel check-in, attend a tour, or use transportation without prior notice, the booking may be treated as a no-show. In most no-show situations no refund is provided, remaining travel segments may be cancelled automatically, and additional penalties may apply.

Refund processing

Refunds are processed only after supplier approval, cancellation confirmation, internal verification, and payment validation. Estimated timelines are 7-30 business days for credit or debit cards, 3-15 business days for bank transfers, provider-dependent timing for e-wallets, and additional time for international transactions.

Khmer Travels is not responsible for delays caused by banks, airlines, hotels, payment gateways, or international financial networks.

Currency exchange and financial losses

International transactions may involve currency conversion. Refund amounts may differ from original payment amounts due to exchange-rate movement, bank conversion charges, or international settlement costs. Exchange-rate losses are not refundable.

Force majeure

Khmer Travels is not responsible for disruptions caused by natural disasters, floods, earthquakes, pandemics, political unrest, government restrictions, border closures, airline operational failures, strikes, weather conditions, or technical failures. In these situations refunds depend on supplier approval, and travel credits or rescheduling may be offered instead of cash refunds.

Fraud prevention and payment disputes

Customers should contact Khmer Travels directly before disputing charges through banks or payment providers. Fraudulent chargebacks or unauthorized disputes may result in account suspension, permanent service restriction, or legal action where applicable.

Cancellation request procedure

Cancellation requests must be sent through official Khmer Travels communication channels and are valid only after written confirmation from Khmer Travels. Customers should provide the booking reference number, passenger or customer name, contact information, service details, and reason for cancellation.
